Absence and Substitute Management Services Request for Proposal (SM-2025-0003)

The Columbus City Schools is seeking a comprehensive Teacher Absence and Substitute Teacher Management system to help teacher employees report absences and fill those teacher absences with substitute teachers. The system should be browser-based, web-hosted, and have the capability to import data from the District’s HRIS/payroll system and hourly timekeeping system. The system should also have features such as automatic matching of substitute teachers, notification capabilities, and reporting capabilities. The District is looking for a vendor that can provide a system that meets these requirements and can be implemented by July 1, 2026. • The system should be able to handle a maximum volume of 700 absences per day. • The system should have a user-friendly interface and require minimal end-user training. • The system should have a detailed audit trail and be able to differentiate between remote, personal development, and in-person learning teacher days. • The system should have the ability to set up notification methods, times, and dates, as well as restrict notifications on holidays and non-workdays.
