Description

The U.S. Embassy in Bishkek seeks a qualified contractor to plan, organize, and execute the “Freedom 250 C5+1 U.S. Government Alumni Summit,” a two‑day event celebrating the 250th anniversary of U.S. independence with approximately 100 participants from Central Asia and the United States. The contractor must provide full event‑management services, including travel logistics, visa support, airport transfers, hotel accommodations, venue procurement, catering, audio‑visual equipment, speaker and expert coordination, MC and trainer services, monitoring‑and‑evaluation, photography/videography, promotional materials, and on‑site support. The contract period is 12 months, with the summit scheduled for November 21‑22 2026 in Bishkek. The award will be based on the lowest technically acceptable quotation. • Full‑service event planning and logistics for ~100 attendees • Airfare, visa assistance, ground transportation, and hotel rooms for international participants • Venue selection, A/V setup, catering (meals, coffee breaks, gala dinner) • Procurement of speakers, experts, MC, trainer, M&E specialist, and support staff • Production of promotional items (t‑shirts, bags, water bottles, signage) and post‑event media (photos, reels) • Compliance with U.S. State Department FAR clauses and small‑business set‑aside (WOSB) requirements • Submission deadline: 16 Sep 2026, 5:00 pm UTC+06; questions due 8 Sep 2026, 12:00 pm UTC+06.

Budget estimate

$200,000 – $500,000

The solicitation does not disclose a total contract value. Based on the scope—airfare for ~55 international participants, hotel rooms for 70+ nights, venue rental, full catering (meals, coffee breaks, gala dinner), audio‑visual equipment, speaker fees, MC/trainer fees, promotional merchandise, photography/videography, and a dedicated project team—the likely budget falls in the mid‑six‑figure range. Assuming average economy airfare of $800 per traveler, hotel at $150/night, venue and catering at $100,000, plus professional services and media production, the total could range from roughly $200,000 to $500,000, depending on negotiated rates and any cost‑saving measures.
