Description

Ector County (and participating governmental entities) is seeking qualified vendors to provide semi‑annual inspection, testing, maintenance, and repair services for automatic fire suppression systems installed in a wide range of county facilities, including kitchens, mechanical rooms, fire stations, schools, senior centers, and other high‑risk hazard zones. The contract will run from October 1 2026 through September 30 2027, with an option to renew for up to three additional one‑year periods at the same rates. Bidders must be licensed, insured, and able to meet NFPA standards and local fire codes. All work must be coordinated with County representatives, and the successful vendor will be required to execute the County’s Master Service Agreement and provide detailed inspection reports after each service visit. • Scope: Semi‑annual inspection, testing, preventive maintenance, and repair of ANSUL R‑102 and other fire suppression systems. • Locations: Over 60 listed sites across Odessa and surrounding areas (schools, fire stations, senior centers, medical center, etc.). • Contract term: 12 months (Oct 1 2026 – Sep 30 2027) with up to three one‑year renewal options. • Submission: Bids via OpenGov e‑procurement or hard‑copy sealed envelope; deadline Sep 18 2026 10:00 AM. • Pre‑bid meeting: Virtual on Sep 9 2026 (non‑mandatory). • Questions due: Sep 11 2026 5:00 PM; answers posted Sep 15 2026. • Evaluation: Lowest responsive and responsible bidder; must provide three recent references and demonstrate capability to meet NFPA standards.

Budget estimate

$200,000 – $500,000

The solicitation does not disclose a total contract value. Based on the extensive list of over 60 service locations, the semi‑annual nature of the work, and typical market rates for fire‑suppression system maintenance (approximately $1,500‑$3,000 per site per visit), the annual contract could reasonably fall between $200,000 and $500,000. Larger or more complex sites (e.g., fire stations, hospitals) would push the upper end, while smaller school kitchens would be at the lower end.
