The Texas Workforce Commission (TWC) is issuing an RFP for its 2027 Texas Conference for Employers, a series of four conferences held in San Antonio, Horseshoe Bay, Arlington and Houston. The successful vendor will deliver a full‑service conference package that includes meeting space, food and beverage, audio‑visual equipment and on‑site support, daily parking, and a block of guest rooms for approximately 20 TWC staff members. Attendance is expected to range from 350‑600 for the three one‑day events and 600‑800 for the two‑day Houston event. Key dates span February through July 2027, with preferred dates listed for each location. The contract will run for 60 days after the final conference date and includes strict requirements for ADA‑compliant spaces, high‑speed wired and wireless internet, comprehensive AV setups, and optional concessions such as complimentary parking and discounted lodging.
• Provide venue space, setup/teardown, and on‑site staff for each conference location.
• Supply catering (all‑day beverage service, morning and afternoon breaks) for up to 800 attendees.
• Deliver AV equipment: screens, projectors, cameras, microphones, mixers, streaming encoder, and technical support staff.
• Offer parking solutions and a block of 20 guest rooms at or below government per‑diem rates.
• Meet ADA, insurance, and bonding requirements; allow for optional concessions.
• Submit a complete cost proposal, references, financial questionnaire, and required forms by 10 Oct 2026.
