Description

The State Foundation on Culture and the Arts (SFCA) is seeking a qualified contractor to plan, coordinate, and execute the annual Teaching Artist Institute (TAI) across Hawaii. The Institute provides mandatory professional‑development hours for teaching artists on the SFCA roster and is open to others, with a focus this year on the intersection of arts education and health. The contractor will organize up to three island‑specific convenings (Maui, Oʻahu, Hawaiʻi Island), each 2‑3 days, serving 60+ artists, manage speaker selection, handle travel, lodging, and meals for participants and presenters, and ensure timely communication and logistics. The contract is firm‑fixed‑price, not to exceed $50,000, and runs for an 8‑month period beginning mid‑October 2026. • Manage all aspects of the TAI: scheduling, venue selection, speaker/workshop procurement, travel logistics, and participant support. • Conduct three separate convenings (Maui, Oʻahu, Hawaiʻi Island) each 2‑3 days, with 60+ teaching artists total. • Provide pre‑event information, promotional materials, and post‑event reporting. • Administer travel, accommodation, and meals for rostered teaching artists and contracted speakers. • Ensure compliance with Hawaii state procurement, tax, and insurance requirements. • Deliver services within a maximum budget of $50,000 and an 8‑month contract term.

Budget estimate

$30,000 – $50,000

The solicitation caps the contract at $50,000, indicating the maximum award. Given the scope—multiple island convenings, speaker fees, travel, lodging, meals, and project management—the actual spend is likely between $30,000 (if many costs are covered by participants or in‑kind contributions) and the $50,000 ceiling. Factors influencing the final amount include the number of speakers contracted, travel distances, accommodation rates, and any additional health‑focused program components.
