Description
The Alabama State Department of Education is seeking a qualified vendor to provide comprehensive audio‑visual production services for the FY‑2026 MEGA Conference at the Mobile Convention Center. The work includes delivery, set‑up, operation, and tear‑down of A/V equipment across multiple rooms, staffing of technicians, lighting engineers, and camera operators, and ensuring all equipment meets trade‑practice standards. The contract is a one‑time purchase tied to the five‑day conference (plus a set‑up day) and will be awarded to the lowest responsive bidder that meets the specifications.
• Provide full‑service A/V production (equipment delivery, installation, operation, and removal) for the conference and all breakout rooms.
• Staff minimum six A/V technicians per day, plus dedicated lighting engineers, camera operators, and support personnel, with uniformed on‑site presence 7 AM‑5 PM.
• Supply required hardware (LED video wall, projectors, audio consoles, microphones, lighting rigs, rigging equipment, etc.) and maintain insurance of at least $1 M per occurrence/aggregate, naming the Mobile Convention Center as additional insured.
