Description

Stony Brook University Hospital seeks a twice annual pharmacy inventory program. A successful pharmaceutical-cost-management program must be data driven. Group Purchasing Organizations, wholesalers, distributors, pharmaceutical manufacturers, and supply-chain divisions of multi-hospital systems need to track costs in a variety of ways. Advances in information technology have made drug usage data more accessible and sophisticated, and effort should be spent to manage and analyze these data. Pharmacy management must also take advantage of the data available in its own facility. To achieve these benefits a certified Pharmacy inventory of the medication supply must be conducted twice each year by an external provider. Requirements: 1. Must be competent in providing Pharmacy Inventory Services.2. Must be able to send at least an 8-10 person team.3. Team must include a defmed supervisor/team leader.4. If physical count, preliminary report, and review with Hospital Pharmacy Leadership cannot be completed within a 7.5 hour work day, must agree that any additional time will be reimbursed to the Hospital for all staffing required to stay past this time.15. Must have strong organization between the inventory company team leaders and on-site inventory team.16. Must review a sample of all hardcopy inventory sheets prior to being on site.17. Must be responsive to obvious mistakes that may occur, and have processes in place to address them, and a single person responsible to correct any errors.18. Must have in place, defined processes and up-to-date technology to minimize errors and improve efficiency; including but not limited to:• Centralized computer for supervisor to access data coming in from scanners throughout the day.• Scanners pre-loaded with product information.• Successful experience working with Cardinal Health IT.• Ability to access and load a two-year history from the wholesaler.• Competency in uploading direct purchase files provided by Pharmacy.• Ability to allow for alphanumeric product information.• Master file database maintained by company to compare data collected specifically for site to confirm price, UOM, etc. prior to on-site visit.• Ability to test all files and do any necessary clean-up prior to on-site visit.• Ability to download all files to supervisor's computer and each handheld device that will be used on-site prior to arrival.• Provide their own NDC/IT support to work through any incompatibilities with the files during count - ability to manually enter via NDC, search database via description, etc.• Ability to read and interpret Reports provided by Pharmacy for regulated locations e.g. controlled substances vault, restricted storage areas, code carts, Pyxis, floor stock; and incorporate into final report.19. Budget estimate

$50,000 – $125,000

The solicitation states the procurement falls within the discretionary range of $50,000 to $125,000. Assuming a competitive bid near the midpoint, the award could be roughly $75,000‑$100,000, but the final amount will depend on the vendor’s pricing model, any optional add‑ons (e.g., additional reporting or extended support), and the university’s budget ceiling.
