Christmas Lights/Display Installation/Luminance

The City of Edmond Public Works Authority is seeking a qualified vendor to install, maintain, and remove Christmas holiday lighting displays throughout downtown Edmond and at the Luminance park area. The contract will be awarded on a sealed‑bid basis, with an initial performance period from approximately September 28 2026 through June 30 2027 and an option to renew annually for up to four additional years if service and pricing remain acceptable. Work is “as‑needed” and the city is not obligated to use the services each year. The scope includes installing leased lights on trees, pavilions, and building façades, providing LED mini‑lights, constructing a light tunnel, and handling maintenance, storage, and removal of equipment. Vendors must submit a non‑collusion affidavit, references, and a maintenance policy, and must be present for two scheduled event nights. • Install leased and city‑owned LED lights on multiple trees, pavilions, and structures in downtown and Mitch Park. • Provide 24‑hour or preventative maintenance and handle removal, storage, and replacement of inoperable lights (≈15% anticipated). • Supply additional lighting items (LED mini‑lights, C‑9 bulbs) and construct a 80‑ft light tunnel. • Submit required documentation (non‑collusion affidavit, references, maintenance policy) by 9/10/2026. • Contract may be renewed annually for up to four years, with price reviews each renewal period.
