Multi-Function Device (MFD) Fleet Replacement, Lease, and Cost-Per-Copy Maintenance Services

The City of Hollywood, Florida is seeking a contractor to replace its existing fleet of multi-function devices with a new, standardized, and secure print environment. The contractor will provide equipment, software integration, installation, training, maintenance, supplies, and ongoing fleet management services for a period of 60 months. The City anticipates a total fleet of approximately 75 to 150 devices, and the contractor will be responsible for conducting a comprehensive fleet assessment and proposing a right-sized device deployment plan. The contractor will also provide automated meter collection, consolidated invoicing, fleet reporting, and dedicated account management. • The contractor must provide new, current production models of multi-function devices with manufacturer support available for the full contract term. • The devices must be ENERGY STAR certified and EPEAT registered (Silver or higher preferred). • The contractor must provide all-inclusive maintenance, repair, and consumable supplies under a cost-per-copy agreement. • The contractor must provide end-user and administrator training. • The contractor must remove and properly dispose of, or coordinate return of, the City's incumbent fleet, including certified data sanitization of all storage media.
