Description
The Texas Veterans Commission is seeking a qualified venue to provide lodging, meeting space, and audio/visual services for the 2027 TVC Annual Conference. The conference will be a 4-day event with an estimated 592 direct-bill attendees per night at its peak. The venue must be located within the State of Texas and provide a minimum of 10 ADA rooms per night, as well as complimentary Wi-Fi in guest rooms. The vendor will be responsible for providing meeting space, audio/visual equipment, and parking for approximately 700-800 attendees daily.
• The venue must have a minimum of 24 meeting spaces, including a large room with a capacity of 700-800 and a secondary ballroom with a capacity of 200.
• The vendor must provide a meeting room package that includes coffee and water service sufficient to accommodate the total number of participants.
• The facility must comply with all applicable Americans with Disabilities Act of 1990 (ADA) Title III requirements.
• The vendor must provide a detailed facility map, including all meeting rooms and support spaces.
• The vendor shall include, at a minimum, stage, sound, projection screen, projector, and linens as part of the meeting space package.
