Absence & Substitute Management System

The Canyons School District (CSD) is seeking a SaaS Absence & Substitute Management System for K-12 schools. The system should include employee absence management, substitute management, administrative features, integration requirements, and system requirements. The successful supplier will provide a web-based hosted solution with a mobile app, mobile-friendly access, and compatibility with current major web browsers. The system should also have data security and encryption standards, compliance with FERPA and applicable student/staff privacy laws, and allow for data imports to be scheduled and happen on a regular occurrence. Some key features of the system include: • Employee self-service absence entry and management • Automated substitute assignment and placement tools • Half-day, full-day, and custom absence tracking • Ability for staff to request/report absences in advance or on short notice • Automated notifications for staff, supervisors, and substitutes • Ability to track Time Off Balances in the system for employees • Ability to show the Time Off Balance to the employee on the absence creation screen, and enforce balances • Integration capabilities with Skyward Qmlative Canyons School District's existing HR, payroll, and student information systems • Single Sign-On (SSO) compatibility • Secure data import/export functionality • API availability and integration documentation The contract will be a Firm Fixed Price Contract, and the supplier should provide detailed pricing including software licensing, implementation costs, training costs, annual maintenance/support fees, and any additional costs.
