The State of South Carolina is establishing a statewide term contract for Hewlett‑Packard (HP) Poly video‑conferencing equipment and related services. The contract will cover supply, installation, warranty, repair, and 24/7 help‑desk support for all South Carolina public agencies. Vendors must be registered in the SC vendor system, provide an HP Letter of Authorization, meet minimum discount requirements off the HP MSRP, and demonstrate the ability to staff a full‑time help‑desk with rapid response times. The contract is a fixed‑price, not‑to‑exceed agreement with an initial one‑year term and four optional one‑year renewals, running through December 2028.
• Provide new HP‑Poly video‑conferencing hardware (code‑listed in Attachment E) at required discount levels (10‑18 % off MSRP).
• Deliver installation, configuration, and on‑site service (phone response ≤ 2 h, on‑site ≤ next business day).
• Operate a 24‑hour toll‑free help‑desk covering every SC county, manage warranty/repair (carry‑in & mail‑in options), and submit quarterly administrative‑services‑fee reports.
