San Bernardino County is seeking a qualified contractor to plan, coordinate, and execute an annual Employee Appreciation Picnic for county staff and their families at Glen Helen Regional Park. The contractor must provide full event management—including food service, games, entertainment, registration, parking, staffing, and on‑site logistics—for an estimated attendance of 3,000‑6,000 guests each June for up to five years. The scope also includes flexibility to adapt to venue changes, manage subcontractors, and comply with extensive insurance and certification requirements.
• Event planning & coordination for a one‑day, 5‑hour picnic (≈ 10 am‑3 pm) each year.
• Provision of complimentary lunch, non‑alcoholic beverages, games, activities, and entertainment for up to 6,000 attendees.
• Supplying all necessary staffing, equipment, temporary structures, and support for parking, registration, security, and first‑aid services.
• Must have ≥ 5 years experience in large‑scale event planning, food service, and activity coordination; must submit audited financials, insurance certificates, and debarment certifications.
• Contract term up to five years (2027‑2031) with annual pricing to be submitted in Attachment E; cost evaluation carries 30 % weight.
