The City of Casa Grande is issuing a city‑wide directive that, effective April 24, 2026, all vendors and contractors must submit any procurement‑related documents (RFPs, RFQs, IFBs, presentations, attachments, etc.) in formats that meet WCAG 2.1 Level AA digital accessibility standards. Submissions must be searchable, use proper heading structures, include alt‑text for images, meet color‑contrast ratios, contain accessible tables and hyperlinks, and provide captions for any video content. Preferred file types are accessible Microsoft Word, PDF, PowerPoint, and Excel. Vendors are required to run an accessibility checker (e.g., Microsoft Accessibility Checker, PAC PDF Accessibility Checker, WebAIM Contrast Checker) before submission. Non‑compliant documents may be returned for remediation, cause review delays, or be deemed incomplete. The notice includes links to a SOP PDF and an FAQ sheet for further guidance.

• Must meet WCAG 2.1 AA criteria (searchable text, proper headings, alt‑text, color contrast, accessible tables, descriptive links, tagged PDFs, captions for multimedia).

• Vendors must use an accessibility checking tool before submission; Adobe Accessibility Checker does NOT satisfy requirements.
