Multi-Functional Devices (MFD), Services and Management Software

The Board of Police Commissioners, Kansas City, Missouri, is seeking proposals for the procurement of Multi-Functional Devices (MFD), Services, and Management Software. The proposed solution should provide the ability to copy, print, scan, fax, and provide all consumables (excluding paper), while maintaining all copiers under the contract award. The proposal should be a monthly base cost plus usage lease, including all consumables (except paper), maintenance, support, and the ability to invoice based on funding source. Some key points to consider include: • The Department is seeking color copiers for convenient, secure printing, scanning, copying, and faxing. • The proposed solution should cover costs associated with all equipment, subscription(s), software, storage, on-site training, on-site installation, and operational costs for a period of five years. • Leases shall allow for fiscal funding clauses annually. • The Department has several funding sources for this service and will need the billing to be separated to meet the different funding. • The proposal should include pricing for various types of MFDs, including desktop and stand models. • The proposal should also include pricing for network hardware, system software, and other equipment. • The Department is interested in faxing being a software-based, seamless, and secure fax directly from the copier.
