Description
The State of Alabama’s Department of Human Resources (DHR) is seeking a qualified vendor to provide a one‑time preventive‑maintenance (PM) service for HVAC equipment at every DHR county office. The contract is a Quick‑Quote, single‑price, all‑inclusive award covering labor, travel, filters, parts, and documentation. Work must be performed between July 1 2026 and September 30 2026, with one PM visit per location, and any repairs identified during the PM require pre‑approval. The vendor must hold Alabama HVAC, refrigeration, and gasfitter licenses, EPA Section 608 certification for all technicians, and be able to provide water‑treatment testing for the eleven water‑based systems. Detailed documentation, before/after photos, and signed inspection forms are required at each site.
• Perform a comprehensive PM inspection (filter change, coil cleaning, refrigerant check, electrical and mechanical checks) on every HVAC unit at each DHR county office.
• Provide all required paperwork (PM Inspection Forms, Certificate of Inspection, repair quotes, EPA refrigerant filing proof, water‑treatment reports) and obtain signatures before leaving each site.
• Supply and install approved filters (MERV 10 or HEPA as specified) and label each filter with technician information.
• Complete any minor repairs only after written PO approval; all work must be finished by 9/30/2026.
• Maintain EPA universal refrigeration certification, state HVAC/ gas‑fitter licenses, and use a certified water‑treatment provider for the 11 water‑based systems.
