Description
The Oregon Department of Emergency Management is seeking a venue for its annual Oregon Emergency Preparedness Conference. The conference aims to develop partnerships and skills necessary to improve Oregon's capabilities to protect the public through prevention, mitigation, preparedness, response, and recovery from emergencies, disasters, and threats. The selected proposer will provide conference space, hotel lodging, and catering services for approximately 400 attendees. The conference will run from Tuesday to Thursday, with smaller trainings and pre- and post-conference activities on Monday and Friday. The proposer must provide a general session room, breakout rooms, meeting rooms, and outdoor exhibition space. The proposer must also provide audio-visual equipment, catering services, and lodging accommodations.

• Conference attendees are estimated to be around 400
• Conference space, hotel lodging, and catering services shall be located at the same facility
• Meeting rooms: general session room, breakout rooms, secured meeting space, and small private meeting space
• Audio-visual equipment: projectors, screens, microphones, and Wi-Fi
• Catering services: meals for approximately 400 people, with options for special dietary needs
• Lodging accommodations: single occupancy rooms for attendees, with a cutoff date for reservations
