HVAC Preventative Maintenance

The City of St. Joseph is seeking a licensed mechanical contractor to perform preventative maintenance on its heating, ventilation, and air conditioning (HVAC) systems across all City-owned facilities. The selected contractor will be responsible for inspecting and servicing every HVAC unit at designated City facilities on a scheduled, preventative basis. The contractor must provide all labor, materials, tools, equipment, transportation, and supervision necessary to complete the work. The contract will be based on a fixed-rate line item schedule, and the City intends to issue a contract based on estimated unit counts, to be paid out against actual units discovered and serviced. Some key services that the contractor must perform include: • Coils: Chemically clean and power wash condenser coils. Clean and brush evaporator coils as accessible. • Filters: Remove, clean, and replace air filters as specified by the manufacturer. • Belts & Drives: Inspect, adjust, and replace worn belts. Lubricate bearings and motors as required. • Drain Lines: Flush and treat condensate drains and pans to prevent blockage and bacterial growth. • Electrical: Inspect and tighten electrical connections, test contactors, and measure voltage/amperage. • System Testing: Check refrigerant charge, verify operating pressures, and calibrate thermostats. The City has provided a list of facilities and mechanical equipment, but this list is preliminary and does not represent an exhaustive or fully verified inventory for this RFP. The selected contractor is required to perform a comprehensive site verification and service all functional HVAC units discovered at each designated location.
