Audio & Visual (AV) Services

IDEA Public Schools is seeking a qualified audio‑visual production vendor to deliver full‑service AV support for its 2027 College Signing Day events across seven Texas regions. The vendor must supply, install, operate, and dismantle all AV equipment—including video projection, camera production, live streaming, concert‑grade audio, stage lighting, power distribution, and intercom systems—and provide qualified technical staff for each event. Services also cover transportation, freight, travel, lodging, per‑diem, and coordination with venue staff. Events range from venues holding up to 7,000 attendees (RGV, San Antonio, Austin) to venues holding up to 3,000 attendees (El Paso, Fort Worth, Houston, Midland). The contract starts Dec 1 2026 for an initial one‑year term with up to four one‑year renewals. Proposals are due Oct 21 2026; a non‑mandatory pre‑proposal virtual meeting occurs Oct 1 2026. • Provide complete AV equipment (screens, projectors, cameras, microphones, mixers, lighting, rigging, power units, intercom) for each venue. • Deliver all labor, supervision, transportation, freight, travel, lodging, and per‑diem costs. • Ensure backup equipment and redundancy for live events. • Coordinate load‑in/load‑out, power, rigging, and staging with venue personnel. • Meet technical specs: 21,000‑lumens projectors, 4 × 20‑ft screens (or 2 for smaller venues), concert‑grade sound, moving lights, 8‑channel wired/wireless intercom, live stream to Vimeo. • Submit sealed proposals with pricing workbook covering all seven regions; partial bids will be disqualified.
