Fire Pump and Generators Inspection and Maintenance RFQ # 2025-0067

The New York Racing Association, Inc. (NYRA) is seeking bids for the inspection and maintenance of a fire pump and three generators at the Saratoga Race Course in Saratoga Springs, NY. The successful bidder will be responsible for providing periodic and preventative maintenance services, including semi-annual inspections and repairs as needed. The contract term will be from January 1, 2026, to December 31, 2027, with two additional one-year options at NYRA's discretion. Key services to be provided include: • Periodic maintenance and preventative maintenance frequency: semi-annually, including one annual inspection • Batteries and battery charger service requirements: visually inspect battery terminal connections, verify electrolyte level, and record battery charging functions • Fuel system service requirements: visually inspect ignition system, record primary tank fuel level, and inspect engine fuel system for leaks • Cooling system service requirements: record coolant level, visually inspect for coolant leaks, and verify proper coolant heater operation • Lubrication system service requirements: visually inspect engine oil leaks and record oil level • Genset controls and accessories service requirements: visually inspect all engine-mounted wiring and verify all connecting plugs are tightened • Intake and exhaust systems service requirements: visually inspect air filter and housing, and record air cleaner restriction • General conditions service requirements: visually inspect governor linkage and oil level, and verify emergency stop operation • Transfer switch service requirements: visually inspect controls and time delay settings, and verify function of exercise clock • Aftertreatment service requirements: verify DEF level and record DPF restriction • Switchgear service requirements: inspection and full service maintenance • Operational and functional review of generator critical components: inspect engine cooling fan and fan drives for excessive wear or shaft wobble
