Earth Day Celebration Event Services

The City of Mountain View is seeking a qualified Consultant to plan, coordinate, and facilitate the 2026 Earth Day Celebration. The selected Consultant will manage event logistics, oversee day-of operations, and ensure alignment with the City’s sustainability goals and community values. The event will include a variety of activities and attractions, such as live music and entertainment, a community information fair, hands-on and interactive activities, and a ceremonial tree planting. The Consultant will be responsible for tasks including event promotion, entertainment, information fair and stamp-for-prize activity, community contest, day-of-event management, and post-event summary. • Event promotion: designing and preparing digital and printed promotional materials, promoting the event through local calendars and community platforms, and recommending strategies to increase attendance and community participation. • Entertainment: planning, coordinating, and ensuring staffing for six engaging activities for both children and adults. • Information fair and stamp-for-prize activity: organizing the community information fair, coordinating the stamps-for-prizes activity, and ensuring each table hosts an interactive activity. • Community contest: planning and overseeing a community contest for youth and adults, such as a nature photography contest. • Day-of-event management: overseeing and managing all day-of-event operations, ensuring seamless coordination and a positive attendee experience. • Post-event summary: submitting a concise written summary of the event’s outcomes and recommendations.
