Water & Sewer Bill Printing & Mailing

The Town of Vienna is soliciting the services of a qualified bill printing service for water and sewer billing statements and delinquent notices. The selected vendor will be responsible for printing, stuffing, postage, and review of the bills. The contract will cover a period of one year from the date of award to June 30, 2025, with the option to renew for an additional four years. The vendor will be required to provide a Certificate of Insurance and comply with OSHA standards and accepted safety rules and regulations. Some key points of the contract include: • The Town of Vienna will provide the contractor with PDF images of the monthly water and sewer billing statements and delinquent notices. • The contractor will provide the Town of Vienna with access to the sample upload of PDFs for review prior to printing to ensure accuracy. • The contractor will print the quarterly water and sewer bills accurately and efficiently, monthly. • The contractor will ensure that the bills are formatted correctly and include all necessary information. • The contractor will fold and insert bills into envelopes securely. • The contractor will ensure that the correct bill is inserted into each envelope. • The contractor will affix postage stamps or generate postage labels for each envelope. • The contractor will ensure that postage is applied accurately according to postal regulations. • The contractor will address any discrepancies or errors promptly.
