Description

The City of Monterey is seeking a qualified firm to serve as the preferred in‑house audiovisual provider and exclusive rigging contractor for the Monterey Conference Center. The contract covers 24/7 audiovisual technical services, equipment installation, operation, maintenance, and rigging for events at the Center and associated venues (Monterey Marriott, Portola Hotel & Spa, Custom House Plaza). The award includes two phases: Phase I (AV services, equipment inventory, staffing, marketing, revenue sharing) and an optional Phase II (electrical, internet, and phone services). The agreement runs three years (Jan 8 2027 – Jan 7 2030) with two possible one‑year extensions, and the City may cancel with 30‑day notice. Proposals must be ≤36 pages for Phase I and ≤12 pages for Phase II, submitted by Nov 19 2026. • Provide 24/7 audiovisual installation, operation, and teardown for all Center events. • Supply, maintain, and inventory AV equipment (projection, sound, lighting, streaming, etc.). • Serve as exclusive rigging provider – develop load calculations, supervise rigging labor, maintain chain motors. • Staff at least two full‑time AV technicians (one senior with ≥6 years experience). • Offer marketing collateral, commission‑based revenue sharing, and support for non‑profit events. • Optional Phase II: manage electrical, internet, and phone services for conference spaces. • Contract term: 3 years with up to two 1‑year extensions; annual payments to the City; 30‑day cancellation right. • Mandatory pre‑bid walkthrough on Oct 26 2026 (optional attendance). • Award anticipated Dec 15 2026; contract start Jan 8 2027.

Budget estimate

$1,500,000 – $5,000,000

The RFP does not disclose a contract value. Comparable municipal audiovisual‑rigging contracts for midsize convention centers typically range from $500 k to $2 M per year, depending on equipment inventory, staffing levels, and revenue‑share arrangements. Assuming a mid‑range annual spend of $1 M and a three‑year term, the total contract value could be roughly $3 M, with possible extensions pushing it toward $4 M–$5 M. Factors influencing the final amount include the size of the equipment inventory, the commission structure negotiated, and whether Phase II services are awarded.
