The University of Washington’s Office of Ceremonies is seeking qualified firms to provide comprehensive transportation, set‑up, and removal services for university‑owned staging, décor, and related event elements for its major ceremonies (Commencement and Freshman Convocation). The contractor must pick up equipment from the UW Sandpoint Storage Facility, deliver to Husky Stadium and Hec Edmundson Pavilion, assemble according to detailed specifications, attend coordination meetings, and return all assets after each event. Pricing must be all‑inclusive and firm for the first two years, with liquidated‑damage provisions for missed deadlines.
• Transport, assembly, and strike of stage structures, chairs, tables, podiums, décor (flowers, trees, columns, signage, banners, carpet, etc.) for both June‑season Commencement and September‑season Convocation.
• Provide labor staffing plans, meet pre‑event coordination meetings, and optionally attend site‑visit tours.
• Submit detailed, non‑proprietary pricing via the Workday Strategic Sourcing portal; comply with insurance, MWBE, and public‑record requirements.
