RFP No. 44-046 Special Events Coordinator (LAPL)

The Los Angeles Public Library is seeking a qualified Special Events Coordinator to provide professional and technical services for planning, coordinating, and overseeing a wide variety of special events across the Central Library and its 72 branch locations. The role is on an as‑needed, as‑requested basis, requiring the contractor to manage event logistics, vendor relationships, budgeting, compliance with city ordinances (including living‑wage and ADA requirements), and post‑event reporting. The contractor must maintain required insurance coverages and submit all certifications and forms as outlined in the attached documents. • Provides end‑to‑end event coordination for library‑hosted programs, exhibitions, community gatherings, and special celebrations. • Manages vendor contracts, permits, insurance, and city compliance for each event. • Works directly with library staff to align events with mission and community outreach goals. • Must hold appropriate professional liability, general liability, workers’ compensation, and other insurance as specified. • Requires submission of extensive certifications (ADA compliance, non‑collusion, local business preference, etc.). • Contract is open‑ended, with work performed on an as‑needed schedule throughout the fiscal year.
