Western Kentucky University is seeking a qualified vendor to provide comprehensive professional photography services for its annual commencement and college‑recognition ceremonies. The selected vendor will have exclusive rights to capture graduate images, operate on‑site photo stations, manage order‑card distribution, handle all sales, payments, and post‑event mailing of prints, and supply a digital group shot of each graduating class. The contract is initially for two years with the possibility of up to four additional one‑year extensions, and the vendor must supply all equipment, staff in identifiable attire, and meet a strict 30‑minute set‑up window for each ceremony.
• Provide at least two on‑site photo stations per ceremony (graduation backdrop & diploma hand‑off).
• Deliver 5 × 7 in individual prints, digital group shot, and optional larger formats or album packages.
• Manage all graduate order processing, payment collection, and mailing of finished photographs, including tracking and proof timelines.
• Supply detailed online ordering portal, privacy protections, and a defined rebate or payment to WKU.
• Meet Kentucky business licensing, audited financial statements, and data‑security compliance requirements.
