UW Medicine is seeking qualified U.S.-based vendors to provide comprehensive clinical documentation support through on‑site and virtual medical scribes. The work involves recruiting, training, credentialing, and managing a workforce of scribes who will document patient encounters in real time within the Epic EMR, covering a wide range of specialties and adhering to strict HIPAA, Joint Commission, and UW Medicine compliance standards. Vendors must supply only U.S. employees (no offshore staff or subcontractors), provide company‑issued devices for virtual work, and meet detailed dress‑code, security, and reporting requirements. The contract is a fixed‑price three‑year agreement with optional two‑year extensions, and the award will be announced after a best‑and‑final‑offer phase.
• Provide on‑site scribe staffing (7 am–6 pm PST, Mon‑Fri) and virtual scribe support using secure, UW‑approved devices.
• Manage full‑cycle HR functions: recruitment, background checks, immunizations, ongoing training, and immediate replacement of non‑performing staff.
• Deliver regular quality‑assurance reports, comply with all applicable health‑care regulations, and adhere to the “no offshore/subcontractor” rule.
