25-3902 RFQ for Professional Audio-Visual Services

The City of North Little Rock, Arkansas, is seeking qualified production and audiovisual (AV) companies to provide professional services for events held at the North Little Rock Event Center. The city is looking to establish a list of preferred production partners that can deliver safe, high-quality, and technically proficient services for various events, including conferences, banquets, performances, and community gatherings. **Key Requirements:** 1. Companies must provide a qualification statement that includes their history, experience, staff capacity, and qualifications. 2. Companies must demonstrate their ability to provide a range of services, including audio and sound reinforcement, lighting design and operation, video projection and recording, stage and scenic design, rigging and truss installation, power distribution, and technical direction. 3. Companies must have experience with rigging and provide proof of ETCP-certified or otherwise qualified riggers on staff. 4. Companies must maintain active insurance coverage and provide a Certificate of Insurance (COI) listing the City of North Little Rock and North Little Rock Event Center as additional insured. 5. Companies must agree to indemnify and hold harmless the City, its officials, employees, and volunteers from any liability or claims. **Evaluation Criteria:** 1. Relevant experience and technical expertise 2. Demonstrated safety practices and rigging qualifications 3. Quality of references and past performance 4. Completeness and professionalism of submission 5. Compliance with insurance and certification requirements **Submission Instructions:** 1. Qualification responses must be received by November 20, 2025, at 11:15 a.m. 2. Responses must be submitted in triplicate (three copies) to the City of North Little Rock, Attn: Amy Smith, Purchasing Manager. 3. Envelopes must be clearly marked with the RFQ number (25-3902). **Selection Process:** 1. Selected firms will be placed on an approved Preferred Production Vendor List for the North Little Rock Event Center. 2. Firms on the list may be invited to provide quotes for specific events as needed. 3. Inclusion on the list does not guarantee contract award but establishes prequalification for future opportunities. **Contract Period:** 1. The contract period will be for one year from the date of award. 2. The City reserves the right to extend the contract period or issue a new Request for Qualifications notice to consider other qualified providers.
