The State of Tennessee’s Department of Environment and Conservation seeks a comprehensive golf‑course management solution that combines point‑of‑sale (POS) capabilities, tee‑time scheduling, inventory control, dynamic pricing, reporting, and integration with existing hospitality and notification systems for nine state park golf courses. The contract includes provision of commercial‑grade hardware, full implementation services, training, and ongoing support, with a 60‑month base term and optional renewals.
• Required software functions: online tee‑sheet, dual‑mode POS (golf & food‑beverage), inventory, dynamic pricing, robust analytics, 24/7 availability, role‑based security, and API integrations (Maestro PMS, Noteefy, Birdie, Yellow Dog).
• Hardware deliverables: EMV‑certified payment terminals, fan‑less touchscreens, receipt printers, cash drawers, barcode scanners, and related peripherals for each of the nine locations.
• Support & services: data migration, user setup, UAT testing, go‑live assistance, 7‑day/week help‑desk, monthly maintenance, warranty, and optional enhancements via MOU.
• Security & compliance: data residency in the continental U.S., FIPS‑140‑2/3 encryption, SOC 2 Type II, PCI‑DSS, annual penetration testing, and multiple insurance coverages.
• Financial caps: State liability limited to $450,000 for the base term; cost proposals must fit within this ceiling, with change‑order work capped at 7 % of the monthly service fee.
