The County of San Bernardino is seeking a vendor to replace its legacy Archibus Integrated Workplace Management System (IWMS) with a modern, enterprise‑wide solution that includes software licensing, data migration, implementation, training, and post‑go‑live hyper‑care support. The solution must cover space management, facilities/maintenance work‑order processing, asset lifecycle tracking, lease administration, utility cost allocation, and integration with the County’s SAP financial system, HR system, GIS/ArcGIS, and other enterprise platforms. Optional AI‑enabled querying, chatbot assistance, and proactive recommendation features are required, with strict data‑protection and U.S.‑only hosting policies. The contract is a fixed‑price, best‑value award with an initial two‑year term and up‑to‑three one‑year option extensions.
• Provide a SaaS or hosted IWMS platform (on‑premises acceptable) that meets extensive functional requirements across space, lease, asset, facilities, inventory, utilities, and reporting domains.
• Migrate and validate historic data from the existing Archibus system (building, room, asset, work‑order, lease, utility, and employee records).
• Deliver comprehensive integration with SAP, Oracle HR, GIS, and other County systems, plus optional AI modules for natural‑language query and recommendation.
• Supply implementation services, user training, documentation, 2‑year support (hyper‑care) and optional annual extensions, adhering to security, accessibility (WCAG 2.1), and compliance standards.
