RECORDS MANAGEMENT SERVICES, STORAGE & SUPPLIES

Spokane County is seeking comprehensive records management services to consolidate all off-site records into a single location and streamline related processes to achieve cost efficiencies. The services will include secure off-site storage, file retrieval and delivery, indexing, file management, certified destruction, on-site shredding, and other best-practice services typically associated with records management. The awarded vendor will provide these services under an indefinite quantity, non-exclusive, unit price term contract with provisions for multi-year extensions. • The contract will require the vendor to provide a single point of contact for all services and to have a local account representative with a telephone number and backup contact. • The vendor will be responsible for providing secure facilities with controlled access, intrusion detection, fire protection, and pest control. • The vendor will be required to provide a written disaster and recovery plan and to carry the required insurance. • The vendor will be responsible for transporting and handling county records and will be required to sign confidentiality agreements and have complete fingerprint background checks. • The contract will include provisions for pricing, payment, and invoicing, as well as for termination and dispute resolution.
